COVID Policy

Thank you for your patience during the current pandemic. We are looking forward to seeing all of your smiling faces again. We want to assure you that our commitment to safety is paramount and our infection control procedures will continue to be exceptional, including our new pandemic-related policies.

Please review our new policies below to ensure that your appointment proceeds smoothly and safely:

BEFORE YOU LEAVE HOME

Please complete a COVID-19 questionnaire prior to your appointment. This will be reviewed with you on the phone when you book your appointment, via email or text message within 2 days of your appointment and again upon arrival. Please stay home if you are unwell.

We ask that you brush and floss your teeth and use your restroom at home before your appointment as ours will be for employees only.

Please bring and wear your own mask for your appointment. Cloth masks, scarfs, and homemade versions are acceptable.

Please arrive alone. Only individuals who require assistance or minor children will be allowed to be accompanied by one healthy adult.

WAIT OUTSIDE THE OFFICE WHEN YOU ARRIVE

Please call our receptionist 604. 567. 1155. She will instruct you when we are ready for your appointment.

SCREENING & SAFETY DURING YOUR APPOINTMENT

Upon entry to our office, your medical history and COVID-19 information will be re-confirmed, your temperature will be taken, and you will be required to use hand sanitizer.

Appointments will be managed to allow for social distancing between patients. This may mean that there will be fewer options for scheduling your appointment. Wherever possible doors will be opened for you and the waiting room and hightouch surfaces will be disinfected regularly throughout the day by our team.

A mandatory peroxide mouth rinse is provided before treatment begins.

Please be assured that Team Members must also confirm their temperature and health status daily.

NEW BENEFIT PLAN REIMBURSEMENT POLICY

Payment in full is now due on the day of treatment. Privacy laws are increasingly stringent and prevent us from navigating your plan effectively on your behalf like we did in the past. We will still process and submit the claim form for you so that your insurance company will reimburse you quickly (often within 24-48 hours when set up for direct deposit).

For minor children: If the policy holder is not the adult or guardian accompanying the child to their appointment, the policy holder must ensure the guardian is aware that payment is due at time of service. Policy holders are welcome to provide us with their credit card information over the phone to avoid any issues.

We will continue to provide clear estimates for planned treatment and submit pre-determinations on your behalf; so that you can plan and budget for your appointment. You have the final say in your oral health and we will carefully work with you to achieve these goals.

Thank you for taking the time to read our new guidelines. Your safety and comfort is our highest priority. We are proud of our clinic cleanliness and we abide by and surpass all guidelines for infection control.

Please note: Due to the restrictions caused by the pandemic & increased cost of PPE, our fees have modestly increased. We thank you for your understanding.

We value your trust and loyalty and look forward to seeing you again.

Sincerely, Dr. Nancy Clayton, Dr. Heather O’Keefe and Dr. Ray Krumme
